Online Services

Payment & Cancellation policy

Applicable To:

Pre-Purchase Property Evaluation, Online Consulting, Regenerative Farm Design (online packages), and Online Mentoring sessions offered via docspice.life.

1. Payment Terms

All online services require full payment upfront to secure your booking and commence work.

Work (including site analysis, design, or mentoring preparation) will not begin until payment is received in full.
Once payment is received, your project or session is locked into the schedule.

2. Scope of Online Services

Depending on the service selected, your payment covers:

Property data review and high-resolution aerial / GIS mapping
Desktop analysis of topography, climate, water flow and catchment
Design documentation or consultation notes
One-on-one mentoring session time and preparation

3. Cancellation & Refund Policy

Because online services involve immediate allocation of specialist time and the creation of bespoke digital work:

Cancellation before work begins:
If you cancel in writing within 7 days of payment and before any analysis, mapping, or preparation has commenced, you will receive a full refund less a $150 AUD non-refundable administrative fee.
Cancellation after work has commenced:
Once site analysis, mapping, desktop assessment, design work, or mentoring preparation has begun, the fee is non-refundable. This reflects the genuine costs of reserved time, specialist input, and intellectual property already created.
Client delay:
If the required property information or inputs are not provided within 60 days of payment (despite reasonable requests), the project or session may be closed and fees retained.

4. Statutory Rights

Nothing in this policy excludes or limits your rights under the Australian Consumer Law (or other applicable consumer laws) that cannot be excluded.

Earthworks Package Terms

Applicable To:

All Earthworks Installation packages and related on-site construction services via docspice.life

1. Payment Terms

A 50% deposit is required at least 7 days prior to the scheduled travel and machine mobilisation date.
The remaining 50% is due on completion (practical completion) of the works.
Work will not be organised or commenced until the deposit has been received.

2. Machine Hire Arrangement

As standard, the client is responsible for dry-hiring all required machinery.
Doc Spice will only organise and mobilise machinery if the client specifically requests this service.

3. Fuel, Grease & Consumables

The client is responsible for supplying fuel, grease, paint, and any other required consumables where possible.
If the client is unable to supply these items, Doc Spice will purchase them and add the cost to the final invoice.

4. Unexpected Ground Conditions

Doc Spice carries out test holes and site assessment where appropriate. However, subsurface conditions can never be fully known in advance.

If materially different conditions are encountered (including rock, insufficient clay, unsuitable material, or other conditions that significantly increase time or cost), the following process applies:

Work in the affected area will be paused and the client notified as soon as practical.
Options will be discussed with the client.
Any additional time, machinery, materials or methods required will be treated as a variation and charged accordingly.
Work will only continue once the variation is approved.

5. Weather Delays

Earthworks are weather dependent.

If weather conditions make it unsafe or impractical to continue work, a stand-down rate of 50% of the normal daily rate will apply.
This covers time on site and associated costs while remaining mobilised.
Extended weather delays may result in the works being rescheduled by mutual agreement.

6. Dam Sealing, Soil Suitability & Structural Performance

The performance of dams, swales and earth banks depends heavily on the natural materials available on site and on ongoing maintenance.

Doc Spice will construct works using the best available site materials and sound earthworks practices.
Full water-tight sealing of dams cannot always be achieved, as this relies on the presence of suitable clay and other natural materials, which vary from site to site.
Banks, swales and dam walls can be damaged or fail if spillways become blocked, damaged, or are not properly maintained.
The client is responsible for regular inspection and maintenance of spillways and overflow structures after the works are completed.

Doc Spice will take all reasonable care during construction, but cannot accept responsibility for seepage, leakage or failure caused by natural material limitations or lack of ongoing maintenance.

7. Client Responsibilities

The client is solely responsible for ensuring the following are completed before any works commence:

Providing clear and safe access to the work area for machinery
Ensuring all gates are unlocked and access routes are free of obstacles
Accurately locating and clearly marking all underground services, including telecommunications cables, electricity lines, water pipes, gas lines, and any other buried infrastructure
Obtaining all necessary permits and approvals required under government regulations and environmental planning laws
Providing suitable areas for machine parking, storage of fuel, grease and materials
Having an authorised site contact available at all times during the works

Limitation of Responsibility

Doc Spice takes all reasonable care when carrying out earthworks. However, Doc Spice accepts no responsibility whatsoever for any damage, loss, or cost arising from contact with underground services or infrastructure that have not been accurately located and clearly marked by the client prior to the commencement of works.

The client remains fully responsible for any consequences resulting from unmarked or incorrectly marked services.

8. Statutory Rights

Nothing in these terms excludes or limits any rights or remedies the client may have under the Australian Consumer Law that cannot be excluded.
